Cyber Security breaches are increasing and costs of fixing them rising. Cyber attacks are increasingly sophisticated. Cyber security is a critical Board Level risk. Cyber crime is a business. Do not fall victim to it and place colleagues at risk. Please be reminded of these guidelines below and ensure you follow them.
Electronic Records
· Be extra vigilant for phishing attempts, and malicious websites. There have been a surge of phishing attempts reported all over the world during this time.
· Ensure you apply all the software updates on all mobile devices (laptop, mobile, etc.,)
· If you spot an issue with anti-virus, report it straightaway.
· Do not store any files on your laptop or personal devices. Always use the network drive.
· Use a secured wireless connection at home. Never connect from a public unsecured wifi network.
· Lock your screen if you are in a shared space.
· If you use personal devices for work, ensure that the device has the latest anti-virus software, firewalls and backup tools. This reduces the risk of malware finding its way onto devices and both personal and work-related information being leaked.
· Report any lost or stolen devices immediately to your line manager and your DPO.
Hard Copy files
· If you are working on any paper documents, ensure to close your files and keep them in one location, when not in use. If it is not possible to place them in a secure filing cabinet or drawer, place in clean, clearly labelled boxes.
· Do NOT under any circumstances place files in recycling or refuse bins for regular council collection.
· If using a personal scanner and computer to digitize any hard copy files, ensure that you transfer the digital files to the network folder.
· Once you have scanned the file, ensure that you completely delete the scanned image from your personal computer and the cache of your scanner.
· When transporting records, do not leave them unattended in your car.
Working with Confidential and Personal Information
· Remember to consider your confidentiality obligations towards our Surgery. If you work with confidential or personal information, make sure you work in a private setting.

· Use strong passwords
· Set up two-factor authentication wherever possible
· Do not bypass security updates or antivirus software updates
· Secure your home router
· Install updates regularly
· Back up your data
· Only use the network folders
· Do not store data on local drive
· Look out for phishing emails and sites
· Watch out for work-from-home scams
· Use encrypted communications
· Lock your device
· In doubt, email
